Why the Right Questions Matter
Hiring a bookkeeper is one of the few business decisions that touches everything — your cash flow visibility, your ATO compliance, your ability to pay staff correctly, and how prepared you are come tax time. Not everyone offering bookkeeping services is qualified to lodge your BAS, and not every provider understands Fair Work obligations or current Xero features. Are You a Registered BAS Agent?
This is the single most important question. Under the Tax Agent Services Act 2009 (TASA 2009), anyone who prepares or lodges a BAS, or advises on GST classification, for a fee must be registered with the Tax Practitioners Board (TPB). This isn't optional — it's the law.
- Ask for their BAS Agent registration number and verify it at tpb.gov.au.
- Registration means they carry professional indemnity insurance and are bound by a Code of Professional Conduct.
- Using a registered agent gives you access to safe-harbour protections — if they make a genuine error, you're shielded from ATO administrative penalties, provided you gave them accurate information on time.
An unregistered bookkeeper who lodges BAS on your behalf isn't just a compliance grey area — it removes this legal protection entirely and can expose your business to ATO scrutiny.
How Skilled Are You in Xero?
Most Geelong small businesses run on Xero, and the platform's usefulness depends entirely on how well it's set up and maintained. Ask potential bookkeepers:
- Are you a Xero Certified Advisor, and can you show your certification badge?
- Can you set up bank feeds, bank rules and chart of accounts specific to my industry?
- Do you use Xero add-ons relevant to my business (e.g. Hubdoc for receipts, WorkflowMax for job costing)?
- Will you provide monthly management reports through Xero, not just raw reconciliations?

If you employ staff, payroll accuracy is non-negotiable. Underpayment claims are increasingly common across Victoria, and ignorance of the correct Modern Award is not a valid defence under the Fair Work Act 2009.
- Ask how they determine the correct Award classification and pay rate for each role — and whether they cross-check against fairwork.gov.au.
- Confirm they run Single Touch Payroll (STP Phase 2) compliant reporting through Xero.
- Ask how they track superannuation guarantee (SG) obligations under the Superannuation Guarantee (Administration) Act 1992, including the current SG rate and quarterly due dates.
- Check they understand leave accruals, casual loading, and overtime rules relevant to your industry Award.
A bookkeeper who can't clearly explain how they keep Award rates current is a red flag — Award rates change annually, usually from 1 July.
How Do You Charge, and What's Included?
Pricing structures vary widely across Geelong bookkeeping providers. Some charge hourly with no cap, others offer fixed monthly packages. Ask:
- Is your fee a fixed monthly rate, or hourly with an estimated range?
- Does the quote include BAS lodgement, payroll processing and Xero subscription support, or are these extra?
- What happens if my transaction volume grows — how does pricing scale?
- Is there a minimum contract term, or can I leave with 30 days' notice?
Fixed monthly pricing is generally better for small businesses because it removes the anxiety of "will this email cost me money" and makes budgeting predictable.
How and When Will We Communicate?
The best bookkeeping relationships run on rhythm, not radio silence. Before signing on, clarify:
- Will I get a monthly reconciliation report and profit and loss summary?
- Who do I contact directly if I have an urgent question — is it always the same person?
- What's the typical turnaround time for BAS preparation before the due date?
- Do you flag cash flow issues proactively, or only report what happened after the fact?
A good bookkeeper acts like an early warning system for your business finances, not just a historian.
