The Actual Day-to-Day Work

A small business bookkeeper's core job is keeping your financial records accurate and current. That means reconciling every bank transaction against your accounting software (Xero, in most cases we see), matching invoices to payments, chasing or recording accounts receivable, and keeping accounts payable under control so nothing gets missed or double-paid.

Payroll usually sits with the bookkeeper too, correct award rates, superannuation guarantee, PAYG withholding, and Single Touch Payroll reporting to the ATO each pay run. None of this is glamorous, but it's the foundation everything else, your BAS, your tax return, your actual understanding of how the business is doing, gets built on.

The job is accuracy, not strategy. A bookkeeper keeps the numbers right. What those numbers mean for your next decision is usually a conversation with your accountant or, for the day-to-day trends, a good bookkeeper who reports on more than just compliance.

Most established small businesses use both, a bookkeeper for the ongoing work that keeps things accurate, an accountant for the annual return and structural decisions. Neither replaces the other.

Why Registration Matters

If a bookkeeper is lodging your BAS, they legally need to be a Registered BAS Agent with the Tax Practitioners Board. Someone can absolutely do general bookkeeping, data entry and reconciliation, without that registration, but they cannot lawfully lodge a BAS on your behalf unless registered. Using someone who isn't registered for that specific task is a real compliance risk, one that lands on you, not them.

How to Tell if One's the Right Fit

  • What software do they work in? Ideally the one you already use, or one they'll help you set up properly
  • Are they a Registered BAS Agent? Ask for the number, it's checkable
  • How often will you actually hear from them? Monthly reporting versus a scramble at BAS time is a real difference in how useful the relationship is
  • Do they explain the numbers, or just hand over a report? A good bookkeeper makes your numbers make sense to you
