  • Expense accounts: Create enough granularity to give you useful reporting without drowning in accounts. For most Geelong small businesses, 20–35 expense accounts is the right range.
  • Superannuation liability accounts: Your COA must include a superannuation payable liability account that sits on the balance sheet, not the P&L, until the super is actually paid. This is essential for accurate financial statements and compliance with the Superannuation Guarantee (Administration) Act 1992.

A live bank feed pulls your transactions directly from your Australian bank account into Xero each business day, eliminating manual data entry and giving you a real-time view of your cash position.

Here is what you need to know about connecting bank feeds correctly in Xero for a Geelong business:

  • Supported Australian banks: Xero supports direct feeds from ANZ, CBA, NAB, Westpac, Bendigo Bank, Bank of Melbourne, and most major credit unions. If your bank is not on the direct feed list, you can use a Yodlee feed or import OFX/CSV files as a fallback.

  • Reconcile weekly: We recommend Geelong clients reconcile bank feeds at least weekly. The longer you leave it, the harder it becomes to remember what transactions relate to. Staying on top of reconciliation also means your BAS numbers are always current.

From a record-keeping perspective, the ATO requires businesses to retain financial records for five years under section 262A of the ITAA 1936. Setting Up Xero Payroll for STP Phase 2 Compliance

Single Touch Payroll Phase 2 (STP2) is now mandatory for all Australian employers and requires disaggregated payroll reporting to the ATO each time you run a pay run.

Xero does not automatically apply Modern Award rates, so you need to configure these manually or use a third-party award interpreter. The Fair Work Commission publishes all Modern Awards at fairwork.gov.au.
  • Superannuation: The Super Guarantee rate for FY2026 is 11.5% under the Superannuation Guarantee (Administration) Act 1992. Each employee's superannuation fund must be entered using the fund's ABN and USI (Unique Superannuation Identifier). If an employee has not chosen a fund, you must use the ATO's Stapled Super fund process before defaulting to your nominated default fund.
  • Leave entitlements: Annual leave, personal/carer's leave and long service leave accruals must be configured correctly. Under the National Employment Standards (Fair Work Act 2009), full-time employees accrue 4 weeks of annual leave per year. Casual employees do not accrue leave but are entitled to a 25% casual loading.
  • STP2 finalisation: At the end of each financial year, Xero Payroll allows you to submit an STP2 finalisation event for each employee, replacing the old Payment Summary process. This must be completed by 14 July each year (with some exceptions for closely held payees).
